The way that the databases within PocketBilling 4.0 are related, the entries in the Visits db do not themselves contain a patient name field. Rather they are linked to their “parent” records in the Rounds DB via the linked field of the Medical Record #. For any given patient, the best way to view a listing of their previous, and current visits is to navigate to the Visits db through their Rounds db record. For instance, if you are viewing the Rounds db, click on any particular patient record you wish to view the visits for, and from within that record, click on the Visits tab/button, and this should show you only those visits that have been stored for that particular patient.

The Visits DB itself, when accessed from outside of any particular patient’s record, was designed to be used to show only those visits for which work was left to be done (ie charges still had to be submitted, etc.). Many users use it as a check to ensure that there are no outstanding visits for which charges have not been recorded.

Unfortunately, the way PocketBilling databases currently communicate with one another, DOB is not a data field that can be easily included in any reporting that is run off of the Rounds DB view. DOB is actually stored within records in the Patients DB, and reports are not currently enabled from that view. One way to get around this temporary limitation, is to note a patient’s date of birth within their Rounds record, in the ‘Notes’ section. If you do this, it will be incorporated into your reporting output in the table labeled ‘Notes’.

When it comes to outputting reports, the filters you have set do not impact the fields that are displayed in any given report, rather they only impact which patient records (ie discharged patients only) are included in your reporting output. PocketBilling 4.0 ships with 3 pre-developed reports that have static fields; they display the same data regardless of the filters set. PocketMed can develop custom reports for you as a service, but you should be able to get most desired results with what’s already in place in the program.

Reports can only be run from the Rounds DB view. Patients’ Visits records, and Patients DB records can be filtered and
manipulated from their respective DB views, but they cannnot be reported on from there.

From the Rounds DB view, after you set whatever filters you need to isolate only those records you wish to generate a report on, select File > Print Report. This action should bring up a pop-up window with 3 choices. Selecting any one of the 3 choices will result in that type of report being displayed on the filtered records you have isolated.
